Privacy Policy
The American Association for Geodetic Surveying (collectively referred to in this Privacy Statement as “we,” “us,” or “AAGS”) recognizes the importance of protecting the privacy of all information provided by users of our websites, subscribers to our Journal, registrants for our events, recipients of our email newsletters, and our members. In this policy statement all persons and entities from whom we collect information are referred to as our “users.” We created this policy with a fundamental respect for our users’ right to privacy, and to guide our relationships with our users. This privacy statement discloses the privacy practices for all products and services owned by AAGS.
INFORMATION COLLECTION AND USE
AAGS collects information from our users. Below, we describe the information we collect and how we use it to provide services to our users.
AAGS Membership
When someone becomes a member of AAGS, we ask for a name, a mailing address, and an email address. This information is collected so that we can provide them their membership benefits. For our services that require payment (such as membership dues, certain events, and subscriptions), we collect credit card information (such as account name, number, expiration date, and verification code), which is used for billing purposes only. Credit card information is not stored or retained in any manner, so members provide it once a year when they renew their membership.
SaLIS Subscriptions
All AAGS members, except Affiliate members, receive a subscription to the AAGS journal, Surveying and Land Information Science (SaLIS), as a benefit. However, anyone can subscribe to SaLIS whether they are an AAGS member or not, and we ask non-members to provide a name, a mailing address, an email address, and a credit card number or other payment information. As with members, this information is collected so that we can fulfill the user’s subscription, send the non- member user invoices, and contact the user about their subscription. Once a user becomes a subscriber, we store the subscription information, including its start date, renewal date, pricing, publication, and any customer service contacts the user has with us.
Article Authors
Authors who submit a manuscript to SaLIS must provide name and contact information. We use this information so that the editor can provide the authors with reviewer comments and either a letter of acceptance, resubmission, or denial of publication of the manuscript. If the manuscript is accepted for publication, the contact information is used by the publisher to contact the authors with further suggested edits and to provide a hardcopy of the journal in which the paper is published. Additionally, author-contact information is collected so that SaLIS readers have that information about the authors. In addition to appearing in the hardcopy of the journal, author- contact information is also provided in the electronic version of article both in the paper and in websites that index the journal.
Online Registration
Registration might be required to participate in certain website features, such as commenting. When someone registers, they might be asked for personal information such as name, email address, user name, and a password of their choice. We collect this information to identify the registrant, to provide access to the service being requested, and to communicate forgotten- password notifications.
Newsletter
We require our members’ e-mail addresses so we can send the user our newsletter, which is only distributed electronically.
Communications from Us
We provide our members with meeting notices, agendas, and minutes of prior meetings to keep our members informed on the actions of the AAGS Board of Direction. For example, we might send new members a welcome message or verification-of-password and username for our password-protected sites. We might also communicate with a user to provide requested services and for account-related issues via email, phone, or regular mail.
Other than as set forth above, we do not share personally identifiable information with other entities, apart from those acting as our agents in providing our product(s)/service(s), and that agree to use it only for that purpose and to keep the information secure and confidential. We will also disclose information we maintain when required to do so by law, for example, in response to a court order or a subpoena or other legal obligation, in response to a law enforcement agency’s request, or in special cases when we have reason to believe that disclosing this information is necessary to identify, contact or bring legal action against someone who might be causing injury to or interference with (either intentionally or unintentionally) our rights or property. Users should also be aware that courts of equity, such as U.S. Bankruptcy Courts, might have the authority under certain circumstances to permit personal information to be shared or transferred to third parties without permission.
CHILDREN’S ONLINE PRIVACY PROTECTION ACT COMPLIANCE
Our website, products, and services are all directed to people who are at least 13 years old or older. We do not knowingly collect personal information from anyone under 13 years of age. If we determine upon collection that a user is under this age, we will not use or maintain his/her personal information without the parent/guardian’s consent.
